Overview

Responsible for executing specific tasks and processes within the operational framework of the Development Office. This role manages and executes strategy for donor data segmentation, communications, progress tracking, and administrative workflow. The manager is also responsible for the marketing and logistics of fundraising events, including online presence, messaging, vendor coordination, and registration.

 

Hiring Range: $75-$85k/yr

Responsibilities

ESSENTIAL FUNCTIONS:

 

Intake/Consulting:

  • Assists in Needs Assessment: Supports intake assessments by gathering basic information from VP of Development and Manager of Special Events and preparing summaries for the functional team.
  • Stays Updated on Industry Basics: Monitors basic industry news and regulatory updates to support the team; shares any relevant information during team discussions.
  • Supports Strategic Data Collection: Helps collect and organize data to assist in drafting recommendations for strategic planning.

Day-to-Day Operations:

  • Develops strategic communications for various constituent groups, including President’s Council and Thrive Alliance.
  • Provides special recognition for memorial and tribute gifts, donor anniversaries, etc.
  • Manages development and distribution of all direct-mail and email appeal campaigns; serves as liaison to internal staff and vendors.
  • Oversees development of fundraising collateral material; serves as liaison between Development and Marcom and/or outside vendors.
  • Manages production and distribution of bi-annual Leading the Way magazine; curates, provides, and develops content; serves as facilitator to internal staff and vendors.
  • Serves as point-of-contact for external inquiries to development office.

Event Marketing:

  • Designs and publishes fundraising event marketing, including landing pages, communications, collateral, and registration materials.
  • Responsible for peer-to-peer fundraising platform to include page design, maintaining content, and providing reports as needed.
  • Supports solicitation process and proper recognition of donors, guests, and volunteers.
  • Assists with coordinating event logistics, in collaboration with Manager, Special Events

Vendor Management:

  • Conducts Basic Vendor Research: Performs initial research on potential vendors by gathering basic information on offerings, pricing, and reliability.
  • Supports Vendor Communication: Helps organize and track communications with vendors, ensuring performance details are documented.
  • Monitors Vendor Deliverables: Tracks vendor deliverables against agreed standards and report any inconsistencies to the team.

Program Planning:

  • Assists with Program Data Collection: Helps gather and organize data to support program planning and reporting for the functional team.
  • Basic Process Improvement Support: Contributes to evaluating data and identifying simple areas for improvement within existing programs.
  • Prepares Progress Updates: Creates basic progress reports for functional program initiatives, documenting outcomes, challenges, and achievements.

Project Management:

  • Provides Project Coordination Support: Assists with coordinating project tasks, tracking progress, and reporting updates to team members.
  • Organizes Project Documentations: Helps maintain project documentation, ensuring it is complete, accessible, and up-to-date.
  • Assists in Monitoring Budgets and Timelines: Supports the team by tracking project budgets and timelines, flagging any discrepancies to ensure project alignment with goals.

 

Qualifications

EDUCATION:

  • AA degree

 

EXPERIENCE:

  • 3+ years of experience or equivalent combination of education and experience to perform the job successfully.

 

KNOWLEDGE, SKILLS, ABILITIES:

  • Ability to coordinate, prioritize, and implement multiple and shifting tasks.
  • Ability to communicate effectively through oral, written, and proofreading skills with all levels of staff and the public.
  • Demonstrated ability in preparing accurate information for presentation via research, writing, and compilation of data.
  • Demonstrated proficiency with managing online content.
  • Proven ability to work effectively in a team environment.
  • Demonstrated proficiency in MS Office Applications (Outlook, Word, PowerPoint, Excel).
  • Ability to skillfully deal with internal associates and external partners respectfully, professionally, and with diplomacy and tact.
  • Ability to maintain confidentiality and exercise a high level of discretion.
  • Ability to be focused and flexible while shifting/changing priorities.
  • Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation per Easterseals Southern California and/or program requirements.
  • Must pass all drug testing required by ESSC.
